Procurement Card Program

The p-card is the purchasing method of payment for student organizations. The process to receive a p-card takes about two weeks once the COA office receives and can process a complete application.

Obtaining a P-card as a Treasurer

  1. Treasurer will complete an application in Workday
  2. COA office and the organization advisor will review the application
  3. COA will submit final approval and will order the p-card
  4. COA receives and processes the p-card
  5. COA office will contact the treasurer when the card is ready for pickup

Obtaining a P-card for an Additional Officer

  1. Proposed cardholder will complete a Cardholder Agreement and provide that document, along with their full legal name, and telephone number to the organization treasurer
  2. Treasurer will complete an application in Workday
    • The Cardholder Agreement will be attached to the application
  3. COA office will review the application
    • The applicant will be enrolled in p-card training if needed
  4. Organization Advisor will review the application
  5. COA will submit final approval and will order the p-card
  6. COA receives and processes the p-card
  7. COA office will contact the officer when the card is ready for pickup

Policies

  • Cardholder must be a current officer of a recognized student organization
  • Cardholder must be a current student at ISU
  • Two officers within an organization may hold a card; more if needed (e.g. travel)
  • One application per card applicant
  • Financial account must be in good standing
  • Student Organization must be in good standing
  • Original, itemized receipts must be scanned and attached to electronic verification in Workday
  • We recommend advisors retain original receipts of $500 or greater for one (1) year
  • Training is mandatory for cardholders, treasurers and advisors
  • You may not share the card with another officer
  • No trademarked items to be purchased without approval through Trademark
